Datafisher LMS Feature update – Done May 2026

 

 

We’re pleased to introduce new enhancements to your Datafisher LMS. This release focuses on checklist-driven workflows, smarter reminders and escalations, automated admin role management, improved reporting capabilities, and more flexible manager notifications—helping you streamline compliance processes, reduce manual work, and improve visibility for admins and managers.

 

1. Checklist assignment automation and improved owner visibility

Checklist management has been enhanced with automatic assignment logic and better visibility for checklist owners (to help managers manage checklists).

What’s New?

  • Automatic checklist assignment based on:
    • User groups (e.g. onboarding, country, role, or account creation)
  • Mapping logic introduced:
    • User group → Checklist template → Checklist owner
  • When a new user is created:
    • Checklist is assigned automatically
    • Checklist owner is assigned automatically
  • Checklist owners can:
    • View checklist progress
    • Review comments
    • Manage and sign off checklists on behalf of manager

2. Checklists – New transactional reminder emails and escalation logic

We have introduced enhanced transactional email notifications and reminders for checklist workflows. These ensure that assigned checklists are completed on time and that relevant stakeholders are informed throughout the process.

How it works?

  • Immediately after assignment
    • Employee receives a checklist invitation
    • “You have been assigned the checklist for [Checklist Name]”
  • After 5 business days
    • If progress has started → reminder sent to employee
    • If no progress:
      • Employee receives reminder to start
      • Manager and Checklist Owner are notified
  • After 10 / 15 / 20 business days
    • If checklist is still incomplete:
      • Employee receives reminder to complete
      • Manager and Checklist Owner receive escalation notifications
  • After completion (no sign-off yet)
    • Employee and Manager receive sign-off reminders
    • Repeated automatically if needed
  • After full completion (all sign-offs done)
    • Completion notification sent to:
      • Employee
      • Manager
      • Checklist Owner 

Key Benefits:

  • Ensures nothing is left incomplete
  • Supports real compliance follow-up with escalations
  • Enables configurable timelines (e.g. target completion in X business days)

 

3. Assignment validity and automatic user block

New controls have been added to manage assignment validity and user access automatically.

What’s New?

  • Assignments can now have an expiration date
    • After expiration → assignment becomes inactive
  • Option to block users without active assignments
    • User is automatically blocked if no valid assignments exist
    • System checks status weekly to avoid temporary disruptions

     Example use case

    • External users (e.g. contractors) only have access when:
      • They have valid training or checklist assignments
    • If no assignments exist → access is automatically restricted

     

    4. Automatic assignment of admin roles based on user da

    Admin roles can now be assigned automatically based on user data fields, reducing manual work and improving scalability.

    How it works?

    • Admin roles (e.g. Reporting Admin) are assigned based on:
      • User data fields such as department, country, or business unit
    • Example
    • If user belongs to:
      • Operations Country 1
      • Project Country 1

    → They are automatically assigned:
    Reporting Admin – Country 1

      Key Benefits

      • Eliminates manual admin role management
      • Ensures correct access rights automatically
      • Scales easily for organizations with large user bases (e.g. contractors)

       

      5. Update: Reporting Improvements

      What’s New?

      • Event Start Date and End Date added to Reports

      Result:

          • Improves event tracking and makes reporting and data analysis easier for admins

      6. Clarification: Possibility to add mandatory courses without an active completion to automatic manager notifications

      A new configurable option has been added for handling the notification item:
      “Mandatory courses that do not have an active completion.”
      This refers to situations where:
      • A course is marked as mandatory, and
      • The user has never completed it, or
      • The user’s previous completion has expired, and no valid completion currently exists
      New (Configurable per client):
      Clients can now decide how this item is included in manager notifications:
      • Exclude entirely from notifications
      • Include only after a defined delay (e.g. notify only if still incomplete after X days from assignment)
      Why this matters:
      In some environments, courses are marked as mandatory for visibility or recommendation purposes rather than strict compliance. This option helps ensure that managers are not overwhelmed with notifications that are not actionable.
